Agency terms

Version 2026-10-15. Last updated 15 October 2026.

These terms are between Sussex Teachers Limited, company number 08608637, registered office 2 Upperton Gardens, Eastbourne, East Sussex, BN21 2AH, trading as Supply Safe (“we”), and the agency that buys a subscription (“you”). You accept them when you tick the box on the Buy page and pay. We record which version you accepted and when.

1. What you are buying

An annual subscription to the Supply Safe course for a set number of candidates (your “allowance”), with an administration portal. The course is CPD Certified by The CPD Certification Service. Each candidate who completes it receives a certificate. Prices are annual, shown without VAT, and VAT is added at checkout.

2. Term and renewal

Twelve months from payment, renewing automatically each year at the price then published, unless you cancel before the renewal date. We will email you before each renewal.

3. How places work

  • A place is one candidate, enrolled once, within your paid year.
  • Sending an invitation reserves a place. The candidate starting the course uses it.
  • Cancelling an invitation nobody has accepted gives the place back.
  • A place is not given back once someone has started, even if they later leave you. The training happened.
  • Resending an invitation, and assessment retries, never use another place.
  • There is no carry-over. A new year is a new allowance. At renewal, outstanding invitations carry over and re-reserve places in the new allowance, and anyone part way through the course finishes without using a second place.

4. Changing your plan

You can move to a larger band at any time. It takes effect straight away and Stripe charges the difference pro rata. A move to a smaller band takes effect at your renewal date and never before. You cannot move to a band with fewer places than you have already used or reserved this year until renewal.

5. Payment

By card through Stripe. If a payment fails, Stripe retries it. For 14 days people who have started the course can finish it, but you cannot send new invitations. If it is still unpaid after that, your account is suspended. Certificates already earned stay valid and downloadable.

6. Cancellation and refunds

You can cancel at any time and the subscription then ends at the end of the paid period, with access until then. We refund in full if you ask within 14 days of first purchase and no candidate has started the course. After that we do not refund, and we do not refund part of a year.

7. Certificates

A certificate records that the named person completed the course and passed its assessment, on the date shown, and is shown as valid until 31 August following completion. It is CPD certified training. It is not a qualification, and it does not by itself show that you or the holder comply with any law, standard or school requirement. A certificate stays valid and downloadable if you cancel or your subscription lapses. How long we keep certificate records is set out in our privacy notice. We can correct a name, replace a certificate that was issued wrongly, or withdraw one, and we record why. In rare cases we may award a certificate after manual review, and it says so.

8. Your responsibilities

You decide whom to invite and you are responsible for having a lawful reason to share their details with us. You keep your sign-in details safe, use two-factor authentication where we require it, and tell us promptly if you think an account has been misused. You decide who may see certificates and reports.

9. Personal data

How we handle personal data is described in our privacy notice. Where we handle candidates’ personal data on your behalf, a data processing agreement applies. It forms part of these terms and we will send it to you on request at hello@supplysafe.co.uk.

10. What we promise and what we do not

We will provide the service with reasonable skill and care and keep the course up to date with each new edition of Keeping Children Safe in Education. We do not promise uninterrupted service. We do not give legal advice. Compliance depends on what you do, not on what you buy.

11. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
